How does TimeFlow Pro sync with Xero?

TimeFlow Pro sends active clients to Xero as contacts, pushes invoices with line items, and checks payment status for invoices already synced to Xero.

TimeFlow Pro → Xero: client contacts

The client sync selects active TimeFlow clients that are not already mapped and sends their name, email, and billing address to Xero as contacts. The returned contact IDs are stored for later invoice syncs.

TimeFlow Pro → Xero: invoices

An admin can push an invoice with its Xero contact, issue date, due date, invoice number, notes, and line items. Draft TimeFlow invoices are sent as Xero drafts; other invoice statuses are sent as authorised.

Xero → TimeFlow Pro: payment status

The invoice sync refreshes already-synced Xero invoices. When Xero reports an invoice as paid, TimeFlow Pro updates the local invoice to paid.

Why does Xero need account and tax defaults?

Every Xero line item receives an account code and tax type. The configuration screen can load accounts from Xero or let an admin enter codes manually before saving defaults.

Xero connection steps

  1. Open the configuration area in the TimeFlow Pro app as a company admin.
  2. Authorize Xero through its OAuth flow.
  3. Load the Xero chart of accounts or enter an account code and tax type, then save defaults.
  4. Sync clients, push invoices, and refresh payment status from the available controls.

How does TimeFlow Pro sync with Xero?

It sends active, unmapped TimeFlow clients to Xero as contacts, pushes TimeFlow invoices to Xero, and reads Xero payment status for synced invoices.

Can one company connect both Xero and QuickBooks Online?

No. The connection flows allow only one active accounting integration at a time, so disconnect the current service before connecting the other.
